How do I handle warranty claims for pumps abroad?

Agree the process before you order: what evidence a claim needs, who inspects the failed pump, how replacements or credits are given and how long each step takes.

Warranty claims for pumps abroad work best when the process is agreed before the first order. Decide what evidence a claim needs, who inspects a failed pump, whether parts are returned to India and how the maker settles valid claims: with replacement pumps, spare parts or a credit on the next order.

Without that agreement, every failure becomes a long email argument, and your customer waits. Put the process in the purchase contract or a separate warranty agreement signed by both sides.

Build the claim file

Each claim should carry the same set of facts. Ask your dealers and installers to collect these as standard:

  • The model and serial number, read from the nameplate, with a photo.
  • The shipment or invoice the pump came from, and the installation date.
  • Installation details: well depth, pump setting, cable size and length, and the control panel used.
  • Supply readings: voltage on each phase and running current, if the pump ran at all.
  • A clear description of the fault, with photos or video of the failed part.
  • For motor failures, the winding resistance and insulation readings, and photos of the opened motor.

Decide where pumps are inspected

Shipping every failed pump back to India is slow and often costs more than the pump. Most importers agree that claims are judged from evidence, with only selected failed units returned for analysis. Another option is a trusted local workshop that opens failed pumps and reports to both sides.

If you hold the maker's approved spares, you can repair in your market and claim back the parts. That keeps customers running and turns claims into a parts reconciliation.

Agree how claims are settled

  • A replacement stock sent with each container, drawn down against valid claims.
  • Free replacement parts or pumps sent with the next shipment.
  • A credit note against the next invoice, which avoids small separate shipments.
  • Clear time limits for the maker to respond to a claim and to supply parts.

Use claims to improve quality

Be fair about causes. Many failures come from low voltage, dry running or poor cable joints, which the maker will rightly reject. If your evidence is good and your installers follow the rules, valid claims are easier to win.

Track claims by model, batch and failure type. If one batch fails more, ask why and what changed. If failures cluster around supply problems, improve your installation guidance and protection panels. Share the data with the maker every few months.

Your warranty terms set the limits of what you can claim, covered in pump and motor warranty. Cross-border claims for larger machines are covered in warranty claims across borders. A good spare parts stock makes all of this faster.
