Sourcing agent in Mumbai: when a city agent helps and when not

Mumbai is a trading and port city, not where most goods are made. Use a Mumbai agent for trade and logistics, but make sure someone checks the factory.

A sourcing agent in Mumbai can be a good choice if you need trading contacts, shipping lines and paperwork nearby, but Mumbai is mainly a trading, finance and port city, so the factory is usually elsewhere. Whoever you hire must be willing to travel to the plant and report back on it.

That distinction decides most Mumbai hires. A firm that lives in Mumbai and visits no one is a trader's office with a different name.

What Mumbai is good for

From stable public knowledge, Mumbai offers these advantages for an importer:

  • Nhava Sheva (JNPT) and Mumbai port, a major container gateway for the country.
  • Head offices of many exporters, freight forwarders, banks and shipping lines.
  • A large gem, jewellery and diamond trade centred on the city.
  • Commodity and spice trading, including wholesale markets in Navi Mumbai.
  • Easy air connections for meetings and for buyers visiting several states.

What Mumbai is not

It is not where most tiles, textiles, chemicals or engineering goods are made. Those come from clusters in Gujarat, Maharashtra's interior, Tamil Nadu, Punjab and elsewhere. An agent who says they can supply anything from Mumbai is almost certainly buying from someone else.

That is not wrong by itself, but you then pay for a layer and lose sight of the maker. Read sourcing agent versus buying agent versus trader to see how the roles differ.

Questions for a Mumbai-based agent

  • Which clusters do you visit for my product, and how often?
  • Can I see an audit report from one of those visits?
  • Do you take any payment from the supplier, or hold any stake in it?
  • Do you arrange freight and customs, or only the factory side? See does an agent handle freight and customs.
  • Which entity holds the contract with me, and where is it registered?

Jewellery and diamonds: a special case

Mumbai's gem and jewellery trade works partly on trust and verbal terms. For an overseas buyer that is risky. Insist on written specifications, hallmark or purity testing by an independent lab where relevant, and your own chain of custody. Imitation jewellery is made elsewhere, mostly in Rajkot and other centres; see how to audit an imitation jewellery workshop in Rajkot.

A worked example

A buyer in Australia wants a mixed shipment: spice blends from one cluster and brass decor from another, loading through Nhava Sheva. A Mumbai agent who only quotes is of little help. A useful one visits each factory, books the consolidation, checks that the cartons match the packing list and makes sure the paperwork reaches your broker before the vessel arrives.

The test is simple. Ask them for the last three factory visits outside Mumbai. If the answer is vague, you are buying a mailbox.

Red flags with city-based firms

Be careful of a firm that offers every product, will not name its factories, or asks you to pay into an account that does not match the registered name. Ask who your contract is with, and check it. Also be careful of guarantees: no honest agent can promise that goods will pass every test. They can promise to check, report and tell you the truth.

Fees and conflicts of interest

City agents sometimes earn from shippers, forwarders and suppliers at the same time. None of that is wrong if it is disclosed, but you should know. Ask for the fee model in writing and read what a sourcing agent in India costs for the questions to ask, noting that it gives no figures because they depend on your order.

Finally, ask whether the agent will sign an NDA before you send your specification, as described in can a sourcing agent sign an NDA.

How we work

We work across India and arrange audits and inspections where the supplier is, not where the head office is. We find and audit manufacturers, shortlist five to ten real ones, check samples and documents, have lots tested, and supervise production and loading. You pay the factory directly, and we take nothing from factories. Our fee is one written amount agreed in advance. If your cargo leaves through Mumbai or Nhava Sheva, we can plan loading around it.
