Making a quality complaint to a jewellery supplier

How to make a jewellery quality claim against an Indian supplier: the evidence to gather, the deadline to respect and the wording that gets a result.

· 3 min read · Creston & Co

To make a jewellery complaint to a supplier, act within the claim period in your contract, document the fault with photographs, counts and the approved sample, and write one clear message stating what is wrong, what evidence you hold and what remedy you want. A jewellery quality claim succeeds on evidence and timing, not on tone.

If your contract says nothing about claims, you are weaker. Fix that for the next order using the points at the end of this article.

What evidence do you need for a jewellery quality claim?

Before you contact the supplier, gather the following and keep the original packing where you can:

  • Photographs of the outer cartons, seals and labels as received, and of the defects in good light.
  • A count of the pieces received against the packing list, and a record of which are faulty.
  • The approved sample or counter-sample, photographed next to the faulty pieces.
  • Your purchase order, specification and any pre-shipment inspection report.
  • A test report from a laboratory if the problem is chemical, such as nickel or lead.

How soon must you complain?

As soon as you have inspected the goods. Many contracts set a short window for visible defects, and the clock usually starts on delivery. Hidden defects, such as plating that fades after wear, need a longer period that you should agree in advance.

Check the delivery term and the insurance terms too. If the damage happened in transit, the claim may be against the carrier or insurer, not the supplier. Who handles claims on arrival explains the split, and damaged or defective jewellery on arrival covers the first steps.

How should you word the complaint?

Keep it short and factual. State the order number, the design codes, the quantity affected and the defect. Say which clause or specification the goods fail, and attach the evidence.

Then state the remedy you want: replacement, repair, a credit against the next order or a refund of the affected pieces. Ask for a written reply by a set date.

Avoid accusations. A neutral message is easier for a factory owner to act on and easier to rely on later if the dispute escalates.

What if the supplier will not agree?

Keep the correspondence in writing and keep the goods. If you held back a balance payment, the contract should say whether that is allowed. See deposit and balance after inspection for how to structure it.

Terms for replacements and returns are best agreed before the order. See supplier return and replacement terms.

Most disputes are cheaper to avoid than to win. An inspection before shipment against an agreed standard catches faults while they can still be fixed. Read AQL for jewellery inspection.

If a settlement is not possible, check the dispute clause in your contract. Many export contracts name an arbitration venue or a governing law. A practical step before any formal process is to ask for a call with the factory owner or senior manager, followed by a written summary of what was agreed.
